Delete your Whelpy account
You can delete your Whelpy account, and everything in it, whenever you like. This page explains what that means, how to do it inside the app, and how to ask us in writing if you can’t sign in. You do not need the app installed to make the request.
Before you delete: export your records
This matters more for a breeder than for most software. Your council record book and your accounts are records that licensing and tax law may require you to keep — commonly for three years after a dog leaves. That duty is yours, not Whelpy’s, and deleting your account here does not discharge it. Once the deletion has run we will not have a copy to give you.
Export is free on every plan and takes about a minute: sign in and go to Records → Export, where you can download an Excel accounts workbook, CSV files for your accountant, and a zip of every photo, contract and receipt you have uploaded. The printable council record book is on the same page if your kennel has it.
Deleting it in the app
If you can sign in, this is the quickest route and it takes effect immediately:
- Sign in and open Settings.
- Scroll to Close this account, at the bottom of the page.
- Export your records from the link there, if you have not already.
- Confirm with your password and by typing your kennel name (and a code from your authenticator app, if you have two-factor switched on).
Only the kennel owner can do this — closing a kennel is not something a staff login can do to somebody else’s business. If you have a staff login on someone else’s kennel and want it removed, email us and we will remove it.
If you have a paid subscription running, cancel it first from your plan page — the plan badge at the top of any Whelpy screen opens it. Deleting the account removes the link between Whelpy and your payment details, so a subscription left running would keep charging you for a kennel that no longer exists.
If you can’t sign in
Email hello@whelpy.co.uk from the address your account uses and tell us you want the account deleted. Please include your kennel name, so we can be sure which account you mean. If you can no longer reach that email address, write to us at the postal address below and tell us as much as you can about the account — we may have to ask you something only the account holder would know before we delete anything, because deleting the wrong person’s records on a stranger’s say-so would be far worse than a slow reply.
We aim to reply within a few days and to respond fully within one month, which is the limit UK data protection law sets. The deletion itself is done promptly once we have confirmed who you are — normally well inside 30 days of your request.
If you are a puppy buyer
Buyers have Whelpy logins too — the account you were invited to set up so you could see your puppy’s photos, weights and messages. To have that login deleted, email hello@whelpy.co.uk and we will remove it. Deleting your login does not delete you from your breeder’s records: their record of the puppy they sold you is their record, and they are the ones who decide what happens to it — both because it is theirs and because they have their own legal duty to keep it. If you want them to erase what they hold about you, ask them directly, or ask us and we will pass the request on to them.
What deleting actually removes
Closing a kennel account erases the kennel and everything inside it from our live systems: your dogs, matings, litters, puppies, weights, milestones and health records; your buyers, waiting list, reservations and payment records; every message; your accounts, mileage and time entries; every photo, contract and document you have uploaded; and the logins belonging to the kennel — yours and any staff you invited.
Anything you had already archived inside Whelpy goes too. Archiving a record only takes it off your screens; this deletes it.
It cannot be undone, by you or by us, and it is not the same thing as cancelling a subscription. Cancelling only changes what you pay for — your records stay here, readable and exportable, for as long as you want them. Deleting is deliberate and final.
What we keep afterwards
- Backups. Copies inside our encrypted backups are not picked out one by one. They age out as the backup window rolls forward — currently about 30 days — and stay encrypted until they do.
- Invoice and tax records. We keep the minimum the law requires us to keep about you as a customer of ours. Never your buyers’ details.
- A note that a deletion happened. A dated record that a kennel of a given size was closed, so we can show the deletion ran. It carries no name, no email address and nothing that identifies anybody.
